Summary of the Position

This is a non-supervisory position which is responsible to support, provide and perform administrative and transactional duties within the ambit of HR Operations. The HR Operations Coordinator will assist the HR Admin Manager in all documentation activities related to employees and related filing activities, answering and resolving basic employee queries related to HRMS, generating of various reports in HRMS and carrying out additions and deletions to the Group Insurance policies

Roles and Responsibilities

• Joining Process and Onboarding

o Sending out Welcome emails, transportation details and coordination with new hires

o Carry out joining formalities/preparation of employee files, coordinating with Bank Spoc for opening of Salary accounts for new employees

o Preparation of appointment letters

o New Employee Inductions

• Employee Benefits Management and HR Operations

o Addition and deletion of staff into Group Insurance policies

o Coordinate and arrange for MHC letters for staff

o Handle end to end confirmation process

o Manage end to end exit process by ensuring all exit formalities are completed on HRMS and sharing inputs to the Finance team for full and final settlement. Preparation of relieving letters

• HRMS Administration

o Creation of employee Numbers/IDs and maintaining employee databases

o Leave and Attendance Management

o Spoc for employee queries on HRMS

o Preparation of various HR reports using HRMS

• Payroll Management, Personal file Administration and Compliance Management

o Support the payroll inputs (attendance etc.) for monthly payroll processing for FTE staff

o Track attendance and leave for compliance data and absentee reports

o Maintain and update personnel files of staff. Make sure all employee records are filed timely and correctly

o Support in payroll inputs for Contract Staff and Apprentices/Interns to vendor

o Preparation of reports for various HR and Labour compliances

Basic Qualifications

A Bachelor’s degree in any discipline with master in Human Resources or in a related field with a minimum of 4 years of experience working in HR.

Preferred Qualifications

• Knowledge of applicable Labor Laws and rules.

• Strong presentation, good verbal and written communication skills with the ability to articulate complex ideas in easy to understand business terms to all levels of management including senior leaders

• Strong computer skills, experience with MS office required with analytical abilities and attention to detail.

• Proven ability to work in a team

• Good oral and written communication skills in English

• Excellent organizational, communication, and interpersonal skills.
