The position's purpose should provide a high-level overview of why the position exists and briefly identify the most critical priorities of the position. This is an opportunity to highlight any features or duties of the role related explicitly to the Diversity, Equity, Inclusion & Belonging work of the Department.

• Supports people processes for our clients and is the point of contact for administrative questions and follow-up.

• Processes required paperwork for employee transfers, changes in job classification, salary increases, and other related employment matters.

• May assist with preparation of human resource reports such as attendance, new hire, and turnover reports.

• Provides program and data support for our Performance Assessment and Development (PA&D) and Talent Review processes.

• Provides administrative and project support on Human Resources Business Partner projects and initiatives.

• Works with HRIS team to generate and customize employee data reports as needed and based on requests. Provides analysis of employee data to support organizational programs. Provides expertise in presenting data in meaningful ways.

• Troubleshoot HRIS system issues pertaining to the PA&D process, including goal planning and reviews. Handles routine staff questions and issues related to the system and these activities.

• Leverages knowledge of HR and organizations policies to respond directly to inquiries and information requests from staff and managers.

• Provides representation from HR or HRBP team on cross-functional teams across the organization.

• Provides support for the STARS and Milestone recognition programs and serves as a point of contact for general program questions.

• Coordinates with the HRBPs to ensure clear, concise, and consistent staff messaging.

• Supports People Experience and Engagement teams on the coordination of employee events such as Promotion Day and Milestone Day celebrations.

• Coordinates events, lunches, and meetings in conjunction with HRBP programs and initiatives.

• Responsible for tracking purchase orders, processing invoices, monitoring budget, and reconciling Client charges for HRBP cost center.

• Submit HR invoices for processing.

• Set up and maintain HRBP department purchase orders.

• Assists with the Employee Exit process, ensuring data is collected and the process is followed.

• Conduct exit interviews with departing staff and analyzes reasons for turnover.

• Ability to maintain confidentiality and hold Confidential Information in strict confidence; will exercise a reasonable degree of care to prevent disclosure to others.

• Supports year-end compensation planning activities and compensation statement distribution process.

• Backs up HRBPs for general inquiries and resolves routine issues as needed.

• Maintain the STARS, separation, and performance inbox.

• Assists with other duties and special projects as assigned.

The successful candidate will have a demonstrated understanding of our mission, commitment to excellence through inclusive and equitable behaviors and practices, ability to quickly build credibility with stakeholders, along with the following competencies and experience: Bachelor’s degree and 2 (two) years relevant experience in an administrative role. An equivalent combination of education and experience may be considered.

Additional Desired Preferences

• Intermediate proficiency of Microsoft Word, Excel, Outlook, Visio & PowerPoint.

• Experience with an HRIS, preferably UltiPro.

• Ability to learn new systems and processes quickly and effectively.

• Good organizational and communications skills (both oral and written).

• Experience in a fast-paced environment and the ability to stay on task and deliver work products on schedule.

• Ability to process and protect confidential information in a professional manner.

• Ability to prioritize and plan work activities, use time efficiently and adapt to changing priorities as needed.

• Ability to resolve problems in a timely manner and gather and analyze information skillfully.

• Ability to follow-up and follow through on assigned tasks and manage projects effectively.

• Basic understanding of various filing systems and methods of organizing documents and data.
