Job Description

Summary of the Position

This is a non-supervisory position that provides project management and related support to the Global Legal Affairs (GLA) and Global Compliance and Ethics (GCE) departments. The incumbent provides assistance to the staff in both departments, serving as a shared resource to improve and facilitate the efficiency and effectiveness of the functions within GLA and GCE.

Roles and Responsibilities

Responsibilities for GLA include but are not limited to:

  • Maintaining and monitoring outside counsel budget and expenditures

  • Assisting professional staff with preparation of materials for meetings

  • Providing project support to professional staff as needed

  • Ensuring GLA documentation is maintained appropriately and in a timely manner

  • Providing litigation support, including preparing responses to subpoenas and tracking deadlines

  • Assisting with document disclosure requests, including preparing transmittals

  • Maintaining and tracking required corporate filings

  • Other project and office support as requested

Responsibilities for GCE functions (Trade, DEA and Environmental Health and Safety (EHS)) include but are not limited to the following:

  • Submitting and monitoring commodity classification requests and U.S. Department of Agriculture and other government agencies permit applications

  • Handling import and export issues such as detentions, administrative hold ups, deliveries and other trade or logistics matters as they may arise at various points of entry or exit

  • Assisting with uploading training courses into USP Campus and monitoring attendance of same

  • Conducting review of EPA ozone depleting substances sales and maintaining record keeping for quarterly and annual report submission

  • Collecting information and preparing annual waste recycling and reduction report for Montgomery County

  • Assisting with office safety inspections, maintaining records of quarterly safety walk through checklists completed by Laboratory safety officers and providing EHS management with summary of results

  • Assisting EHS group in compiling Waste Manifest & Generator Run Time Reports

  • Assisting with filling export applications and monitoring their approval by DEA

  • Other project and office support as requested

Basic Qualifications

A bachelor’s degree in an appropriate field and a minimum of 3 years of relevant experience. An equivalent combination of education and experience is acceptable. Relevant experience is defined by having provided administrative, legal, or project support functions within a high reliability environment such as legal, government compliance, etc.

Preferred Qualifications

  • Previous experience working in a law firm, government agency or corporate office supporting legal staff.

  • Good organizational skills, with proficiency in the use of relevant computer software (word processing, email, spreadsheet, and database management)

  • Able to juggle priorities from multiple staff in a fast-paced environment

  • Committed to quality; takes initiative in identifying and pursuing opportunities for process improvements

  • Excellent communications and interpersonal skills
