Talent Acquisition Coordinator (Fixed-Term)
This is a Fixed-Term position slated to end 1/31/2020. As a Fixed Term employee, you will receive all of the same benefits as a permanent employee, but with a predetermined end date.
USP is seeking a (Senior) Talent Acquisition Coordinator, reporting to the Director, Talent Acquisition, to perform a variety of routine and complex administrative tasks to support the full recruiting life-cycle. The successful candidate will partner with Hiring Managers, communicate with candidates and collaborate with the recruiting team to ensure a seamless and integrated process.
Roles and Responsibilities
Assists with an internal candidate redeployment and external recruitment for Global Public Health and other divisions as needed.
Partners with the Talent Acquisition team and the hiring manager to understand needs and works with vendors to obtain candidates. Ensures agency temporaries are oriented appropriately and subsequently monitors the overall effectiveness with the supervisor. Maintains agency temporary vendor relationships.
Process invoices in a timely manner
Coordinate external job postings on niche recruiting sites as well as postings related to green card applicants.
Schedule complex in-person interviews. Ensure candidates receive logistical information, job description and travel/lodge accommodation and interviewers have resumes and schedules. Prepare candidate expense reimbursements.
Act as a liaison between candidates and other staff to include the recruiting team, executive committee team, Hiring Managers and HR.
Coordinate the onboarding process to ensure a smooth and positive new hire and Hiring Manager experience, to include: electronic dispatch of new hire forms to newly hired employees, requests for equipment & supplies, and I-9 verification.
Prepares all related purchase orders in a timely manner and ensures adherence to budget. Provides support for contract approval and payment of invoices.
Coordinates the activities for the Employee Referral Program by monitoring referral intranet submissions, keeping track when gift cards, beaker mugs, and referral bonuses are provided to employee.
Prepare, update and deliver reports on recruiting metrics and generate reports from the Applicant Tracking System.
Track and analyze recruiting expenses on a continual basis throughout the year.
Handles sensitive files and correspondence in a manner consistent with the appropriate levels of confidentiality.
Work closely with the Director, Talent Acquisition to update policies & procedures, informational materials and other documents.
Assist with other recruiting and HR projects, programs and events as needed.
Minimum High School diploma and 3 years of experience in a coordinator role supporting a team.
Must have a minimum of 2 years of experience scheduling interviews, meetings and/or events.
Must have 1 year of experience handling complex, detailed work where accuracy is a critical success factor.
Human Resources or Talent Acquisition experience highly preferred.
Bachelors degree preferred.
Must possess strong working knowledge of and accuracy with office technologies, including MS Office Suite (Outlook, Word, Excel, Powerpoint).
Excellent interpersonal and communication skills; be a self-starter with the ability to manage multiple priorities effectively and with a high degree of accuracy.
Detail orientation and have keen organizational skills.
