Summary of the Position

The Education Coordinator is a hands-on, non-supervisory position responsible for providing logistical, planning, and administrative support for international and domestic USP Education courses, continuing to support the growth and reach of USP Education. This operational role provides intensive meeting planning, scheduling, project leadership, promotional document review, and coordination of the online registration system on a daily basis. This position will work closely with other USP departments as well as interact with USP Education students, ensuring successful course deliveries and an overall positive experience for students.

Roles and Responsibilities

  • Maintains the USP Education course catalog in concert with ongoing content development/update activities and ensures the Learning Management (LMS) is updated to reflect new courses or course updates, to be utilized as a promotion and communication tool with USP Education customers.

  • Coordinates the logistical and administrative details related to the development/update and delivery of USP Education course deliveries and other special projects and keeps the USP Education leadership team apprised of progress. Creates, tracks, and manages detailed project plans for multiple projects.

  • Communicates project status to project teams, as well as vendors/consultants on a regular basis. Proactively identifies obstacles, brings them to project sponsors’ attention, and works to resolve them. Routes new and revised course materials through approvals as needed.

  • Provides support for USP Education course registration for webinars, face-to-face and live online courses in the US, India, the European region as well as other international regions, as needed. For face-to-face courses, provides support for coordinating instructor transportation and reservations, vendor management, meeting space specifications, A/V and materials requirements and shipment, lab materials, food and beverage requirements, and accommodations for instructor.

  • Manages the production of course training materials (e.g., workbooks, badges, sign-in sheets, certificates) and ensures high quality, consistency, and timely production.

  • Moderates courses to include launching the online webinar/webcast, providing welcoming remarks, housekeeping information, and introducing the instructor, as well as closing remarks.

  • Edits recorded webinars and webcast videos for on-demand offerings.

  • Assists customers with questions and issues; monitors and responds timely to inquiries that come through the USP Education phone/voicemail and e-mail inbox.

  • Tracks revenue for USP Education courses, updating this after each course with the actual revenue and number of participants, as well as the course and instructor evaluation reviews.

  • Performs other duties and special projects as assigned.

Basic Qualifications

  • Bachelor’s degree in business or related field or equivalent combination of relevant experience and education.

  • Minimum of three years of experience in administration of web-based applications, technical/customer support, managing and moderating live online events or meetings, and project management.

Preferred Qualifications

  • Knowledge of educational programs and how organizations and associations develop, coordinate, and manage such programs is preferred.

  • Proficient in MS Word, Excel, PowerPoint, and Project.

  • Experience with Adobe Premier Pro is preferred.

  • Excellent communication skills: verbal, written, and interpersonal.

  • Exceptional organizational skills and strong attention to detail is required.

  • Possesses strong time management skills and the ability to think critically and problem-solve.

  • Proactive, results-oriented focus toward work and product deliverables.

  • Ability to handle multiple priorities in a fast-paced environment.

  • Ability to prioritize tasks in order of deadline and importance.

  • Ability to work globally with colleagues and customers from different cultures.

  • Must have experience working successfully in a virtual environment with a global organization.
