Brief Job Overview

The Program Coordinator is a non-supervisory role in the Regions & Program Operations department, reporting to the Senior Manager of Donations in India and functionally to the Senior Manager of Donation Operations in the US. It's a contractual position with afternoon shift work. Responsibilities include administrative tasks supporting donation operations and donor recognition, engaging with donors, USP staff, and Science for materials and documents, and contributing to division projects.

The Program Coordinator has the following responsibilities:

  • Contribute daily to donations and donor recognition operations by managing Outlook inboxes, triaging messages as necessary, and proactively escalating any issues or risks to appropriate points of contact to ensure continuous progress.

  • Conduct follow-ups to appropriate stakeholders to obtain missing information needed to complete assigned tasks/responsibilities.

  • Coordinate the procurement and distribution of donor giveaways, such as crystal awards and certificates, by placing orders and overseeing shipping logistics to ensure timely delivery to donors.

  • Plan and manage large-scale industry events, accommodating 100+ professionals, ensuring seamless coordination from inception to execution.

  • Develop and distribute quarterly to semi-annual donor recognition letters and packages, crafting personalized content and coordinating email distribution to ensure timely acknowledgment and appreciation of donors.

  • Manage donor recognition points system, including tracking points and potentially facilitating orders for donors utilizing their accrued points, ensuring accurate allocation and timely fulfillment of orders.

  • Compile and report USP credit utilization data to the finance department on a quarterly basis, ensuring accuracy and timely submission in accordance with organizational requirements.

  • Effectively manages multiple tasks with competing interests, ensuring the timely delivery of high-quality outcomes by proactively reviewing work for accuracy.

  • Cultivates donor relationships, engaging donors to enhance their experience and foster future donation and collaboration opportunities, ensuring a smooth and seamless process while leveraging insights for continuous improvement.

  • Operates within a best practices framework to drive consistency in processes, operations, data management, and system utilization.

  • Performs additional responsibilities as assigned.

Who is USP Looking For?

The successful candidate will have a demonstrated understanding of our mission, commitment to excellence through inclusive and equitable behaviors and practices, ability to quickly build credibility with stakeholders, along with the following competencies and experience:

  • Bachelor's degree in business, communications, or a related field from an accredited university is required.

  • Fluency in reading, writing, and speaking English is essential.

  • Minimum of three (3) years of relevant professional experience in the related field.

  • Minimum of two (2) years of experience in customer engagement.

  • Experience in organizing large group or organizational events, with a minimum of one event planned.

  • Proficient writing skills for professional communication and representing the organization effectively.

  • Strong multitasking abilities are required to manage assigned deliverables and meet deadlines.

  • Proficiency in MS Office programs.

Additional Desired Preferences

  • Five (5) years of relevant professional experience in operations and administrative tasks

  • Knowledge of the pharmaceutical industry

  • Advanced proficiency in Microsoft Office, including data query, analysis, and reporting.

  • Excellent written and verbal communication skills, demonstrating strong awareness of audience appropriateness.

  • Superior interpersonal skills, encompassing professionalism, collaboration, accountability, delegation, and customer service.

  • Ability to quickly establish effective work relationships and collaborate in a global setting, both internally and externally.

  • High business acumen, capable of comprehending and fulfilling business objectives.

  • Comfort in navigating ambiguity and adapting to frequent change, with the ability to adjust course as needed.

  • Demonstrated initiative and resourcefulness, exhibiting good judgment in determining effective approaches and being receptive to constructive feedback to support responsibilities.

  • Knowledge of or experience with Salesforce (or CRM) is desirable.
